What are we looking for?

We are looking for a Purchasing Admin Officer who is enthusiastic, self – motivated, reliable and has excellent attention to details. You require strong organizational and analytical skills to provide efficient, timely and courteous service. You should require ability to prioritize in a fast-paced environment and manage multiple tasks simultaneously. A creative mind with an ability to suggest improvements is highly appreciated.


Role & Responsibilities:


  • Responsible for all IT hardware procurement & preparation globally including managing assets & track for replacement.
  • Procure locally all laptops requirement globally according to IT policy.
  • Align with HR to ensure new laptops are available for new hires.
  • Manage all laptop invoices & other records related.
  • Work with vendor on quotes, negotiations, payment, laptop delivery & ETA as required.
  • Ensure new hires are equipped with the necessary equipment (laptops, headsets/speakers, peripherals, business cards, & others).
  • Coordinate with each country manager globally in relation to office lease contract renewals, negotiation, invoices/payment, office movement, & other admin requirement.
  • Travel arrangement – flight, hotels, & MICE bookings for any offsite events (when situation permits).
  • Provide administrative support as required.
  • Manage travel itineraries and visa application and related arrangements/ claiming process
  • Support team members with admin tasks such as purchasing of office and other equipment
  • Performs administrative duties such as conducting research, updating and maintaining digital filing databases, preparing company forms and maintaining confidential files.
  • Handle simple account receivable and/or accounts payable
  • Minute taking of key meetings



About you


  • At least 2 year(s) of working experience in the relevant field with excellent written & verbal communications skills.
  • Ability to work autonomously and in a team environment.
  • High level of confidentiality is must.
  • Advanced working knowledge of MS Office Suite, Google Suite and technology
  • Problem solving skills, flexibility, initiative, independent, proactive, resourceful, results-oriented.
  • Provide secretarial support with proven office management or administrative assistant experience.
  • Good knowledge of systems, procedures
  • Manage petty cash and prepare expense reports
